The Department

Alfred Cancer Program

The Alfred Cancer Program is responsible for the overall delivery of a comprehensive cancer service which involves a number of clinical areas and units including; Medical Oncology, Clinical Haematology, Bone Marrow Transplant, Apheresis, State-wide Haemophilia Service, Radiation Oncology, Palliative Care and the Victorian Melanoma Service. Alfred Health delivers a comprehensive suite of services which involves a range of diagnostic services, surgical, radiation and oncology therapies and the recently introduced Integrative Oncology Unit and Wellness Centre for cancer patients.

This position is available to commence now, based in the new state of the art Wellness Centre at the Paula Fox Melanoma and Cancer Centre.

Our Integrative Oncology Unit and Wellness Centre is committed to providing comprehensive care that addresses the physical, emotional, and psychological needs of our patients. We combine supportive cancer treatment with holistic approaches to support our patients' well-being throughout their treatment and beyond.

The Role

We are seeking a compassionate, and highly organised Coordination & Administration Officer to join our dynamic team. This position is pivotal in ensuring the smooth operation of our Wellness Centre and supporting the administrative needs of our Integrative Oncology Unit. The successful candidate will be committed to prioritising an exceptional patient experience and exhibit strong organisational and communication skills and a high level of digital proficiency.

Key responsibilities

  • Oversee daily operations of the Wellness Centre, ensuring a welcoming and supportive environment for patients and their families.
  • Coordinate and schedule allied health appointments, complementary therapies, group classes, workshops, education events and support groups.
  • Work closely with our team of healthcare professionals to facilitate integration of wellness services with patient supportive care plans.
  • Monitor and manage inventory of Wellness Centre supplies and equipment.
  • Provide administrative support to the Integrative Oncology Unit, including managing patient records, scheduling patient appointments, and handling all modes of patient correspondence.
  • Assist with the preparation of reports, presentations, and other documentation as required.
  • Coordinate meetings and events, including organising materials and managing logistics
  • Maintain accurate and confidential patient information in compliance with hospital policies.

Qualifications and Experience Required

  • Qualifications: Vocational or tertiary qualification in Business Administration, Health Administration, or a related field is preferred.
  • Experience: Experience working in a healthcare, medical reception or wellness setting.
  • Digital Proficiency: Familiarity with online booking systems and other digital platforms, including website maintenance. Ability to manage and troubleshoot these systems to ensure smooth operations.
  • Skills: Excellent organisational and multitasking skills with a strong attention to detail.
  • Software Knowledge: High level of proficiency in IT applications including Microsoft Office Suite (Word, Excel, Outlook), and experience with electronic medical record systems.
  • Communication: Exceptional communication and interpersonal skills, with a compassionate approach and ability to communicate effectively with patients and their families of varied social and cultural backgrounds.
  • Teamwork: Ability to work independently and as part of a collaborative team.
  • Empathy and Passion: A passionate and positive approach to your work with a genuine commitment to helping others.
