The Department
The Digital Health division is responsible for enabling clinical staff to deliver timely, quality care to our patients and carers through innovative use of information technologies, and through strategic management of information and data across the organisation.
The Role – Position Summary
This position provides administrative and coordination support to the Chief Allied Health Informatics Officer, Chief Medical Informatics Officer, Chief Nursing Informatics Officer, and Chief Pharmacy Informatics Officer (CXIO’s).
The Digital Health Administration Support position will support the CXIO’s by contributing to the effective day-to-day operation of their roles. Under direction of the CXIO’s, this role will also provide broader administrative support across the Digital Health Division to support service delivery and an optimal working environment for staff.
The role requires effective organisation, communication and time-management skills to support multiple senior leaders in a busy digital health environment.
Key duties and responsibilities
Administrative Support for CXIO’s and Digital Health
· Organise and manage administrative support functions
· Diary management and management of meeting rooms.
· Meeting coordination including preparation and distribution of agendas and minutes.
· Event coordination, both internally and externally (i.e catering, room bookings etc.)
· Managing office supplies such as stationery, equipment and furniture
· Performing ad-hoc administration duties (i.e. document preparation)
· Assist with staff orientation and co-ordination of onboarding activities
· Identify opportunities for improvement of internal work processes and actively participate in agreed improvement initiatives within area of responsibility
Qualifications and Experience
· Intermediate skills in Microsoft applications including Word, PowerPoint and Excel, SharePoint, Microsoft Teams
· Experience in assisting in preparing documents
· Experience in working in a busy, fast paced environment
