THE DEPARTMENT

The Pharmacy services operate across all Alfred Health sites and are well recognised nationally and internationally for high quality, innovative, patient-focused services, education and training programmes as well as significant research output.

The Pharmacy Department also plays a pivotal role in managing the electronic medication management system within our comprehensive electronic medical record (Cerner), with an advanced level of integration linking this to the Pharmacy Dispensing (iPharmacy) and Automated Medication Storage systems (Omnicell). This is complemented by a strong clinical presence and a Centre for Medicine Use and Safety program to achieve a considered, safe and financially responsible approach to medication management within Alfred Heath.

THE ROLE

The Senior Pharmacy Procurement Officer plays a critical role in supporting the Pharmacy Procurement Manager in the purchasing and receiving of pharmaceutical products and general supplies across Alfred Health. It provides an opportunity to be challenged in a variety of different forms, from problem solving utilising near real-time purchasing data to being a key Procurement contact in communications with the broader Pharmacy department and external departments regarding purchasing related tasks. Being a strong communicator, having a process-driven approach and the ability to identify and address current service gaps will be crucial skill sets to help the Pharmacy Procurement service to continue to evolve moving forward.

KEY RESPONSIBILITIES

  1. Inventory Management:
  • Support the coordination of day to day operational activities of the Procurement team to ensure continued, timely access to medications
  • Establish contacts with manufacturers and wholesalers in order to maintain ongoing medication supply for the organisation
  • Investigate and troubleshoot stock outages, in addition to communicating this through participation in the regular Drug Availability Working Group meetings
  • Initiate product changeovers by being the key Procurement contact with other internal Pharmacy stakeholders to ensure a seamless transition to alternative products across all sites for the organisation
  1. Compliance
  • Assist with maintenance tasks in relation to the Pharmacy Dispensing system (iPharmacy) to ensure accurate electronic ordering with wholesalers
  • Conduct quality checks on procurement activities to ensure compliance with standards.
  • Development of procedures and guidelines to support procurement activities
  1. Reporting and Analysis
  • Support end of month processes relating to invoicing and financial reporting
  • Report and document any discrepancies or escalation of issues with purchasing activities promptly.

QUALIFICATIONS/EXPERIENCE REQUIRED

  • Experience in managing pharmaceutical products with a sound knowledge of purchasing, supply techniques and inventory control is desirable
  • Tertiary qualification is desirable.
  • Strong problem-solving and analytical skills.
  • Knowledge of hospital pharmacy operations is an advantage.

  • Excellent communication and interpersonal skills.
  • Ability to prioritise tasks in a fast-paced environment.
  • Proficiency in computer operations.
  • Attention to detail and accuracy.
