Newly formed in January 2026, Bayside Health brings together the expertise of five health services to deliver high-quality care across every stage of life, from newborns to older people.

We provide nineteen statewide services to support the Victorian community and are home to Australia’s busiest Emergency and Trauma Centre and largest Intensive Care Unit located at The Alfred. Our personal alarm service, MePACS, cares for around 50,000 elderly and vulnerable people across Victoria and Australia.

The 15-storey Peninsula University Hospital – opening in January 2026 –offers dedicated floors for integrated cancer care, mental health and wellbeing, maternity and women’s health, alongside a new paediatrics ward. Our hospitals in Wonthaggi, Phillip Island, Leongatha, Korumburra  and Koo Wee Rup provide a full range of services to support regional and rural communities.

Alfred Care Group is seeking a highly capable and professional Executive Assistant to the Chief Operating Officer (COO) and Deputy Chief Operating Officer (DCOO). Reporting to the COO, this role provides high-level executive, administrative and secretarial support within a complex and fast-paced healthcare environment.

The Executive Assistant is responsible for the effective day-to-day operation of the Office of the COO & DCOO, enabling the executive team to deliver on strategic, operational and governance priorities across Alfred Care Group.

Key responsibilities include:

  • Overall coordination and management of the Office of the COO & DCOO, ensuring efficient, professional and well-governed operations
  • Proactive diary and inbox management for the COO, DCOO and designated staff, including coordination of internal and external meetings with senior stakeholders and government representatives
  • Preparation and coordination of executive papers, presentations and documentation for Executive Committee, Board and other key meetings
  • Action tracking, follow-up and deadline management to support executive decision-making
  • Management of executive approvals, registers and records to meet governance and organisational requirements
  • Coordination of domestic and international travel arrangements
  • Maintenance of executive records, including leave and timesheet management for direct reports
  • Contribution to project work, briefing papers and reports, including research and data collation
  • Continuous improvement of administrative systems, processes and ways of working
  • Building strong, trusted relationships across the organisation and with external stakeholders

To be considered for this position you will have:

  • Demonstrated experience providing high-level executive support in a large, complex or fast-paced organisation
  • Exceptional organisational, prioritisation and problem-solving skills, with the ability to manage competing demands
  • Strong written and verbal communication skills, including the ability to draft correspondence and represent executives professionally
  • Advanced proficiency in Microsoft Office applications, including Outlook, Teams, OneNote, Word, Excel and PowerPoint
  • Proven discretion, integrity and ability to manage highly confidential and sensitive information
  • A proactive, flexible and solutions-focused approach, with the ability to work independently and as part of a team
  • Experience supporting governance processes, executive meetings and senior stakeholder engagement
