The Department

The Alfred Health Emergency, Virtual care and Outpatients (EVO) Program is responsible for the delivery of emergency and paediatric clinical services across Alfred Health, as well as several other clinical support services.

Alfred Health Emergency sees approximately 120,000 patients per annum across two Departments; the Alfred Emergency & Trauma Centre (E&TC) manages approximately 75,000 patients, and the Sandringham Emergency Department manages approximately 45,000 patients each year.

Sandringham Emergency Department is community focused and has an integrated Urgent Care Centre in addition to the emergency services through the main Emergency Department. The Alfred E&TC is one of the state’s busiest emergency departments, providing timely quality care to acutely unwell and injured Victorians as well as a variety of state-wide services for critically unwell Victorians.

The EVO Program is responsible for several additional services that support the delivery of clinical care. These include GP Liaison Service, Health Information Service, Virtual Services (such as Telehealth support team and the Timely Management of Chest Pain Pilot), Specialist Clinics Support Unit and the Operations Support Unit.

The Role

Reporting to the Operations Manager in the Emergency, Virtual Care, and Outpatient Program with additional support provided by the Outpatient Operations and Administrative Coordinator, the Referral In Team Lead oversees the management of incoming referrals, patient enquiries, patient portal registrations and appointment bookings for Specialist Clinics. This role involves supervising all related systems and processes to ensure key performance indicators are achieved. 

The Referral In Team Leader will supervise, train and provide effective guidance to the administration team, managing daily task allocation, ensuring smooth operations and effective communications between staff, clinicians, patients and their families.

Responsibilities also include offering guidance to other staff members involved in these functions across Alfred Health sites. Building strong relationships with medical, nursing, allied health and local administrative staff is crucial to meeting the Outpatient Program's administrative needs.

Qualification & Experience Required

Essential    

  • Tertiary qualifications in a related field and / or relevant industry experience with a minimum 2-3 years’ experience 
  • Understanding of medical terminology
  • Previous supervisory experience across a broad team
  • Demonstrated computer proficiency including MS Teams, Word, Outlook, Excel (foundational)
  • Understanding and experience managing telephone and email enquiries in a health setting
  • Understanding and experience managing referral receipt and triage processes in a health setting
  • Demonstrated ability to plan workflow, prioritise and delegate to meet deadlines

Desirable

  • Understanding of confidentiality and privacy legislation
  • Experience in onboarding or delivering staff training programs
  • Knowledge and experience with Alfred Health IT packages including Cerner and iPM
