The Department

The Alfred Specialty Medicine program is comprised of six clinical units, incorporating Clinical Genetics and Genomics, Dermatology, Endocrine and Diabetes, Gastroenterology, Renal and Rheumatology. The program provides admitted multiday care (Ward 4WA) and same day Dialysis services (Alfred, Caulfield and Sandringham campuses). The program also provides specialist outpatient and ambulatory care, proving >42,000 patient consultations per year, across The Alfred, Caulfield and Sandringham campuses. The inpatient component of the program admits >22,000 patients per year across the Gastroenterology, Renal, Endocrine/Diabetes and Rheumatology services. In addition, Alfred Specialty Medicine contributes to world-leading research and provides patients with access to the latest innovations in clinical trials and medical care.

The Role 

The Administration Supervisor performs a range of leadership, administrative and clerical tasks, to support and assist the daily functions and activity, of the Alfred Specialty Medicine Consulting Clinics. The Administrative Supervisor reports directly to the Nurse Manager of Alfred Specialty Medicine Consulting Clinics. The Administration supervisor brings approachable leadership, responsiveness and provides professional support, to ensure service and patient outcomes are delivered. 

The job will see you: 

  • Leading your administration team to deliver customer focused outcomes 

  • Supporting clinical staff (administrative team, doctors and nurses) with administrative tasks 

  • Greeting patients, handling referrals, answering phone calls and scheduling patient appointments 

  • Providing Administrative cover for Specialist Consulting Clinics when required 

  • Maintaining and reviewing billing and VINAH reporting as required 

  • Contributing to quality improvement initiatives 

Experience and Qualifications Required

Highly Desirable 

  • Previous experience and proven skills as a supervisor of staff (preferably within a hospital setting) 

  • Experience in leading or managing a team 

  • Experience with patient management systems such as IPM and Cerner 

  • Personable, customer focused approach, and commitment to high quality service  

 Desirable  

  • Demonstrated computer proficiency including MS Word, MS PowerPoint and MS Excel (foundational) 

  • Sound administration experience in a hospital environment 

  • Understanding of confidentiality and privacy legislation 

  • Understanding of medical terminology 

  • Ability to plan workflow, prioritise and delegate to meet deadlines
