The Department
The Alfred Care Group General Medicine Program Operates from two key locations: The Alfred Hospital and Sandringham Hospital. General Medicine Outpatient clinics operate from three sites: 549 St Kilda Rd, Melbourne; Caulfield Hospital, and Sandringham Hospital. The General Medicine Administrative officer works in the context of the General Medicine Clinics, the Hospital Admission Risk Program (HARP), and Gen Med HITH. The role reports to the HARP manager and takes direction from clinicians in the Gen Med Clinics, HARP and Gen Med HITH. The suitable incumbent will work independently and collaboratively as part of a supportive team. They will be skilled in customer service, have experience of working in healthcare settings, and have a sound knowledge of patient management and scheduling systems. This role is key to the smooth functioning of the General Medicine Clinics, and situated in the context of a dynamic set of services that are focused on continuous improvement, while fostering enjoyment and professional fulfilment.
The Role
This position provides clerical support to the General Medicine (Gen Med) Out Patient Clinic and the Hospital Admission Risk Program (HARP). On a day-to-day basis, the incumbent takes direction from Clinic Nursing staff, the Community Deputy Director General Medicine, and clinical nursing staff in HARP. The role primarily fulfils patient scheduling and receptions functions within an ambulatory care, out-patient model. This entails, but is not limited to, creating clinic bookings, organising appointment reschedules, sending reminder messages using Media Messenger or contacting patients by phone, mailing pre and post appointment letters to patients, specialists, and GPs, and developing data reports for evaluation of the clinic model. However, this role also supports HARP and Gen Med HITH by covering unplanned or annual leave, which likewise involves patient scheduling, telephone reception, and general office duties.
Skills and Experience Required
- Previous clerical experience in a healthcare setting
- Experience with patient management systems (iPM and CERNER)
- Experience with customer service
- Strong literacy and computer skills (Microsoft suite, skilled in the use of Excel)
