The Department
Division
Melbourne Sexual Health Centre (MSHC), a specialised unit for the diagnosis and treatment of sexually transmitted infections, (STIs), is located in Carlton. It is part of the Medical Specialties Directorate of Alfred Health. It has an established reputation for clinical excellence and innovation through its research.
MSHC provides screening, testing, counselling, information, referral, health education and clinical management of STIs including HIV/AIDS and Hepatitis C. It is reputed as a global leader in sexual health with ongoing active focus on post-graduate training and education, clinical consultancy and research. The staff of approximately 100 includes Infrastructure support, Counsellors, Doctors, Nurses, Researchers and post graduate students.
Position Summary
Reporting to the Program Director and Manager of Operations, The Personal Assistant provides high-level administrative and strategic support to the Director MSHC - Alfred Care Group and medical staff. This includes comprehensive calendar management, coordination of internal and external correspondence, oversight of the clinic’s activities, and other miscellaneous tasks to enable informed decision-making and to optimise the Director’s time.
Key Responsibilities
- Overall responsibility for the office of the Director of MSHC ensuring that the office operates effectively and efficiently and that work processes and practices are carried out in a professional and coordinated manner
- Manage the calendar of the Director and other designated staff as required, including arranging meetings and events within Bayside Health and external stakeholders such as representatives from Government departments and other health services as directed and appropriate
- Develop sufficient knowledge and understanding of the Director of MSHC’s role and organisational priorities to provide support in a proactive manner
- Provides administrative assistance to the management team and the medical staff
- Administrative assistance to the medical staff in relation to conference leave, annual leave, CME leave and sick leave
- Prepare papers and presentations and coordinate appropriate documentation for regular and other specific meetings and events, ensuring deadlines are known and met and take minutes and record actions of meetings as requested
- Develop and maintain a detailed knowledge base in relation to the organisation’s systems, processes and structure and provide others with relevant and appropriate information and assistance as required and requested
- Coordinate and manage travel arrangements as directed by the Director.
- Develop and maintain administrative systems, policies and procedures within the organisation as required to ensure continuous improvement.
- Contribute to the preparation and implementation of organisational projects, including researching and collating data for reports, preparation of presentations and drafting of relevant papers.
Qualifications and Experience Required
Essential
- Exceptional communication and organizational skills, with the ability to multi-task and prioritize effectively.
- High level competency in all facets of MS Office
- Ability to handle difficult situations and remain professional at all times
- Self-driven and highly efficient, with a proven ability to work independently.
Desirable
- Previous experience in a Personal/Executive Assistant role.
- Previous experience in working in hospital/health and university settings.
