The Department
We assess and treat adult patients with cardiovascular (heart) diseases, including the most advanced forms of coronary, valvular, heart muscle and heart rhythm disorders. Through a wide range of outpatient clinics, investigation suites and a large inpatient service, we care for patients from our local community and across Australia. We have an extensive research and education program, for which we are known internationally.
The Role
The Administration/Billing Officer is a key member of the Cardiology Department, reporting to the Business Manager. This role is responsible for the end-to-end management of private billing processes, including Medicare Benefits Schedule (MBS) compliance, accurate claim submission, and the timely resolution of rejected or outstanding claims. The position plays a critical role in ensuring billing accuracy, optimising revenue capture, and maintaining high-quality service for both internal teams and external stakeholders.
Key Duties and Responsibilities
- Manage end-to-end private patient billing across wards, Cath Lab, and diagnostic services, ensuring accuracy and compliance with organisational policies.
- Oversee medical coding, claims processing, and rejection management, including investigation, resubmission, and appeals.
- Maintain detailed records and proactively identify trends to reduce billing errors, particularly for MBS claims.
- Collaborate with clinical teams, finance, and external providers to ensure accurate billing information and resolve billing queries and discrepancies
- Perform regular reviews and updates of patient financial classifications, billing records, and system data (e.g., PowerChart, Filemaker).
- Support financial operations such as raising purchase orders, receipting and managing billing for procedures such as inpatient echoes and cathlab activity
- Perform data extraction, validation, and transformation for Cath Lab and clinic consult activity to support operational and financial reporting requirements.
- Maintain and update Cath Lab activity datasets (e.g. FileMaker) to ensure completeness and data integrity.
- Contribute to reporting and process improvement initiatives, including dashboards and error tracking, while providing flexible administrative support across the program.
- Foster a collaborative team environment through effective communication and a positive, supportive approach.
Demonstrate adaptability and a willingness to learn new systems, processes, and responsibilities to meet evolving service needs
About you
Essential
- Understanding and experience supporting MBS clinics in a similar setting
- Strong computer/IT literacy Intermidiate Excel
- Experience in Billing and administrative functions and processes
Desirable
- Experience in healthcare setting and MBS Billing or other health care services
- Understanding of medical terminology and experience of Medicare billing processes
