The Position Summary
This position will provide administrative and secretarial support to three key Director positions within the Nursing Services Division:
-Director of Nursing Education and Professional Development
-Director of Nursing Research / Clinical Chair
-Deputy Director of Nursing Quality and Safety
Other tasks include:
- Managing the offices of the Director of Nursing Education and Professional Development, the Director of Nursing Research and the Deputy Director of Nursing Quality and Safety. This will involve dealing with issues on behalf of these Directors as appropriate, determining and maintaining office procedures and systems, including record management and correspondence tracking systems, and providing direct advice to staff on office procedures.
- Providing effective, efficient and timely administrative support, including arranging meetings, taking and typing minutes, transcribing interviews, scheduling appointments, undertaking conference and travel arrangements, screening telephone calls, providing an initial point of contact for inquiries, managing the diaries for the Directors and providing advice to stakeholders as appropriate.
- Preparing and updating routine documents, e.g. Service organisational charts, annual reporting, calendars, presentations, distribution and contact lists. Investigate issues in relation to administrative and operational processes as required.
- Coordinating and preparing briefing material relating to appointments and meetings, drafting correspondence and preparing agendas and minutes on a range of issues and providing advice to staff on information requirements and emerging issues.
Skills and Qualifications Required
- Proven ability in a similar environment where highly developed organisational skills are required
- Proficiency in a wide range of administrative support skills
